Where should consent forms and before-and-after photos be stored?

Consent forms and before-and-after photos belong in one access-controlled clinical record, filed against the client and the treatment they relate to, rather than spread across a camera roll, a shared drive and a forms app. Serene stores each client’s consent forms, photos, treatment notes and history in a single record on servers in Australia, with role-based access and a time-stamped audit trail.

Scattered storage fails in predictable ways. A photo on a practitioner’s phone leaves with the practitioner. A consent PDF in a folder cannot show which version the client signed, or when. When a client, an insurer or a regulator asks for the record, someone spends an afternoon reassembling it from four places. Ahpra’s guidelines for practitioners performing non-surgical cosmetic procedures, in force since 2 September 2025, say a client’s images must be kept on a secure device and never a personal one, and that consent for images must cover how they will be used, where they will be stored and who can see them. The OAIC’s guidance on photographing patients adds that once an image is shared through an app, controlling how it is used and disclosed becomes difficult.
